Friday April 20, 2018: Move In Day 3 p.m.
We will start move in day with the decorator at noon and we expect vendors and exhibitors to be able to start setting up booths around 3 p.m.

Saturday April 21, 2018: Show Hours 10 a.m. to 5:30 p.m.
Vendors and exhibitors will to access to the showroom floor starting at 7 a.m. Doors open to the public at precisely at 10 a.m.

Sunday April 22, 2018: Show Hours 10 a.m. to 5 p.m.
Vendors and exhibitors will have access to the showroom floor starting at 9 a.m. one hour prior to the doors opening to the public at 10 a.m. No one except show management and staff will be permitted inside the building prior to one hour before doors open.

Hotels

The Freeport Inn & Restaurant: We have gotten the rates down to below where they were last year. REMEMBER, if you book the room on line the rates CANNOT apply, you need to do this on the phone with Paul or any of the deck staff. Weekend rates apply if you stay Thursday or Sunday night to leave Monday then Sunday is a weekday rate. Rooms are discounted for vendors & attendees down to ONLY $135. Thursday or Sunday is $115. This newly renovated in  2013,  47 room Freeport Inn and restaurant is located at 445 South Main Street in Freeport, NY 11520 right on the water with patio deck & restaurant. The Freeport Inn is 3 minutes off the Meadowbrook Parkway (Exit M9), maybe a 1 minute car ride to the venue and less than an 8 minute walk. It is 5 minutes from the many, many bars and restaurants of Freeport’s famed Nautical Mile (Woodcleft Ave.) which is actually 1 mile long and lined with plenty of things to do and see. 

Gateway Inn: We’ve worked a deal with the 60 room Gateway Inn located at 1780 Sunrise Highway, just a quarter mile east of Meadowbrook Parkway in Merrick, Long Island and 2 minutes from the venue. They are literally just a 5 minute car ride from the venue site and 6 minutes from the famed Freeport Nautical Mile. Weekend rates apply of course. Rates are as follows; Standard Queen is $119 / discounted to $107 + tax. A room with two double beds is $124 discounted to $111.50. Then you have king size beds with sofa with sitting area for $139 / Discounted to $125+ tax. If you are staying Sunday night to leave on Monday it is a weekday rate of $15 less. Show Rules

  1. Booth registrations are confirmed by receipt of the signed application/contract accompanied by check, money order, credit card or cash. (First come, first served). 

  2. Booths are 8’ x 9’ for $450, and come with one 6-foot draped table, 2 chairs, sign, two badges and electricity.  

  3. Extra tables may be ordered and paid with through the decorator

  4. Names of booth workers must be submitted with application, and each person must produce identification at check-in to obtain a badge. Badges must be worn at all times. Additional certified employees must pay $10 per day. 

  5. Helpers must be valid employees of the exhibitor or have no instrument trading history. Extra Friday passes must be approved by Rich Johnson 

  6. Only one firm or entity may occupy each booth. This includes casual instrument traders. 

  7. No instrument sales or purchases will be allowed outside the venue, in the lobby, or in the loading or parking areas from Friday through Sunday. 

  8. Ten minute ban on electrical instrument tryouts every hour on the hour, to allow acoustic demonstrations. Noise levels will be monitored and controlled throughout the show. 

  9. All exhibits must be left in place through 5 p.m. on Sunday except by management approval.

  10. Neither NY Guitar Show & Exposition nor the promoters or venue will assume responsibility for any theft, damage, accidents or deals that might occur during the course of the show.

  11. Any non-exhibitor who distributes literature of any kind will be charged a $450 fee or be removed form the building.

  12. Vendors must furnish receipts with all sales and trades, without regard to size or value of items. Customers are required to present these receipts to remove items from the hall..

  13. Management may refuse a booth application for any reason.

  14. Sales or display of illegal, unlicensed or “bootlegged” goods is expressly prohibited. This includes but is not limited to audio, video, printed and/or manufactured items.

  15. Every exhibitor is advised to acquire a NY resale/sales tax permit.
